Privacy Notice

What we collect

When you register or use Paragon IMS as an intern, we collect:

• Identity details: full name, email address, phone number
• Academic details: university, course, student number, department, placement dates
• Placement records: daily activity reports, tasks, attendance clock-in/out times, performance reviews, and any documents you upload (ID copy, transcript, CV, etc.)
• Technical details: IP address and timestamps recorded against sign-ins and sensitive actions, for security purposes

Why we collect it

Solely to run your internship placement: to track your tasks and progress, let your workplace supervisor review your work, generate the logbook/report your university may require, and keep your account secure.

Who can see it

Your placement organisation's administrators (the people managing your internship), and — only where you or your organisation explicitly request it, such as a logbook export — your university's placement coordinator. We do not sell, rent, or share your personal data with any other third party.

How long we keep it

For the duration of your placement and a reasonable period after, in case your university or organisation needs historical records (e.g. for a reference or academic credit verification). If you'd like your data deleted sooner, contact your placement administrator.

Your rights

Consistent with the rights set out in Namibia's draft Data Protection Bill, you can ask your placement administrator to:

• Access — see what data we hold about you
• Correct — fix inaccurate information
• Delete — request removal, where there's no legal or academic record-keeping reason to retain it

Security

Passwords are never stored in plain text. Access to your data is restricted to your organisation's administrators. Sensitive actions (like password resets or account deletions) are logged for accountability.
